Custom client portal development for service businesses
StackEndBox designs and builds client portals for B2B service businesses, where each customer can access their own services, documents and support while your team manages delivery through a separate administrator workspace. We connect the portal to the systems you keep, with access rules and recovery controls built into the workflow.
This service is for businesses commissioning a customer-facing application. A CRM manages your team's customer records and sales process. A client portal exposes an agreed part of that relationship to the customer. They can share data without sharing permissions, and you may need a portal without replacing your CRM.
See how our own client portal connects access, documents and support, including the checks buyers can ask us to demonstrate.
Who this is for
- Agencies and consultancies replacing scattered client emails, file links and status requests with one account-specific workspace.
- Managed-service businesses that assign services or assets to customers and need the correct information visible after login.
- Teams with an existing CRM or billing system that need a customer-facing layer rather than a complete replacement.
When this is the right fit
- Customers repeatedly ask for the same documents, service status or support history because there is no reliable self-service view.
- A standard portal has been evaluated and cannot model the required account relationships, approvals or connected records.
- Different clients must see different records and prices, with server-enforced access and a documented assignment process.
- Your administrator needs to recover an ordinary error through the interface instead of asking a developer to edit the database.
What we build
Customer access and onboarding
Sign-in, verification, session handling and account membership, with existing-customer recognition so adding access does not silently replace a password.
Assigned services and account records
Customer-specific service inventory, dates and approved retail information. Internal supplier costs and administrative notes stay outside ordinary customer responses.
Private documents
Upload and download journeys associated with the correct account or service, with server-side authorization and private storage rather than permanent public file links.
Support with delivery context
Requests and replies linked to the customer's service or project, with a clear distinction between customer-visible replies and internal notes.
Administrator review and recovery
Review the exact customer and service before assignment, retain saved request references and check an uncertain result before repeating the action.
CRM and third-party connections
Agree which system owns each field, when it synchronizes and how conflicts are handled. A CRM connection does not require exposing its credentials or internal records to the browser.
What you get
- A role-and-record access map showing what a client, operator and owner may read or change.
- A scoped first release covering one complete customer journey and the administrator actions needed to support it.
- A responsive client workspace and separate administration screens deployed to the agreed environment.
- An integration map identifying source records, synchronization rules and unresolved external dependencies.
- Acceptance evidence from labelled test accounts, including denied access, refresh, duplicate requests and recovery.
- Source code, deployment notes and an operator handover that names supported recovery actions and escalation limits.
First-hand engineering evidence: our own service portal
Our own StackEndBox platform connects customer membership, assigned services, private documents and support with an administrator workspace. The following review scenarios come from that work. It is a first-party product example, not a customer testimonial or an independent security certification.
An existing customer receives another service
Review the saved customer/service pairing after refresh and confirm the existing login still works. Creating a new association should not replace the person's password.
Customer B requests Customer A's file
Demonstrate denial at the API and private-storage boundary with separate fixtures. A hidden download button alone is insufficient.
The browser loses an assignment response
Keep the original operation reference and inspect saved state. Do not turn an uncertain response into a new assignment automatically.
A customer asks about a specific service
Retain the assigned service and customer context across the request, reply and refreshed conversation. Keep private operator notes separate.
An invoice is visible but payment is unavailable
Show the actual payment state and a support route. Invoice display, payment verification and any supplier action are distinct outcomes.
A public description does not establish security for another deployment. Request a fixture-based walkthrough and agreed acceptance evidence for your project. Our own example does not demonstrate live payment collection, automatic supplier renewal or legal ownership transfer. Private customer records and administrative access are excluded from public demos.
Read our client portal acceptance worksheet and first-hand product example, or ask for a walkthrough with labelled test records.
Download the 12-check acceptance worksheet (CSV) to record expected and observed results. It starts with every check marked NOT RUN. Use disposable fixtures and safe references, never passwords, private documents or customer details.
Build, buy or hybrid?
Choose the smallest approach that meets the customer workflow and access requirements. A custom build is not the default for every business.
Configure an existing portal
Use a SaaS, no-code or CRM-native portal when its account permissions, file access and workflows already fit. Review licensing, export options and the effort needed to keep the configuration working.
Keep the CRM and build a portal layer
Let the CRM remain the system of record while a purpose-built customer workspace exposes only approved fields and actions. This avoids rebuilding a sales pipeline just to offer document access or support.
Build the connected application
Use custom development when account relationships, approvals or integrations cannot be represented reliably in the existing tools. The build includes operational ownership, hosting and ongoing maintenance, not only the screens.
When not to hire us. A simple shared-file area, standard project dashboard or untested product idea may be better served by an existing tool. We do not promise regulatory compliance, cost savings or a delivery date without reviewing the scope and evidence required.
What changes the cost and delivery scope
A document-and-support portal differs substantially from a portal with complex accounts, payments or regulated information. We estimate from the reviewed scope, not an invented universal price.
Account model
One client per account is simpler than teams, delegated access, multiple businesses and service-specific permissions.
Workflow depth
A read-only service view is smaller than onboarding, approval, assignment, support, document management and owner recovery combined.
Existing systems
Source-data quality, API limits, synchronization direction and failure recovery affect integration work. We check these before committing to compatibility.
Launch and handover
Migration, email acceptance, hosted testing, monitoring and operator training need an agreed owner. Live financial features require their own provider and acceptance work.
A useful first-release scope
Bring these decisions to a scoping call. The separate acceptance worksheet provides the detailed checks to use before launch.
- Choose one customer type, one service and one complete journey for the first release.
- Name the source of truth for each record and define which fields are customer-visible.
- Agree the administrator's review, saved result and recovery path alongside the customer screens.
- Separate email dispatch from inbox delivery, invoice visibility from payment, and internal access from legal ownership.
- Agree two-account isolation, duplicate submission and lost-response tests before accepting the build.
How we work
First we map one customer journey from invitation to a useful saved result, alongside the owner's review and recovery steps. We agree roles and source records before building the screens. We then implement a small vertical release, test it with separate accounts and disposable data, verify it on the intended hostname and hand over the supported operator workflow. Additional integrations follow once the first journey is accepted.
What we need from you to start
- Who signs in, which business account they belong to and whether several people may share access to an account.
- The services, records and document types customers should see, and the internal information they must never see.
- The current CRM, billing, support and storage tools, with non-sensitive examples of the records to connect.
- How an owner approves an assignment, revokes access and reviews a failed or uncertain action.
- Your data-location, retention and accessibility requirements, plus the person who can approve scope.

Frequently asked questions
- Can you build a client portal without replacing our CRM?
- Yes, where the CRM offers the required API access. Keep it as the source of customer records and build a restricted customer-facing layer. We review field ownership, API limits and synchronization rules before confirming the integration scope.
- Should we buy portal software or commission a custom build?
- Buy or configure when existing account permissions and workflows fit. Consider a custom layer when a specific customer journey or integration does not fit. Compare implementation, licensing, migration, maintenance and export needs over the same period.
- How do you prevent customers seeing each other's information?
- Define account membership and enforce access on server requests and private files. Test with two distinct customer identities and denied record and document requests. UI hiding alone does not establish tenant isolation.
- Can existing customers keep their passwords?
- Account reuse and assignment are designed as separate steps. The reviewed process should recognize an existing identity and add the permitted relationship without replacing its password. Migration from another authentication system needs a specific access plan.
- Does a portal include payments and automatic renewals?
- Only when separately scoped, configured with the provider and accepted. A customer may see an invoice or request a renewal without a live checkout. We do not treat a successful payment as proof that a separate supplier operation completed.
- Can our team run the portal without a developer?
- Normal supported operations should have clear UI controls, saved state and documented recovery. Unknown provider outcomes, security incidents and unsupported changes still require escalation. Ask us to demonstrate both ordinary recovery and those limits.
