CRM and ERP integration for the handoff between sales and operations
StackEndBox develops CRM and ERP integrations for businesses whose sales and operations teams re-enter customer, order or status information. We scope the particular handoff, check the available APIs and build the mapping, validation and recovery around it. This is integration engineering for the systems you keep, rather than a replacement CRM or an ERP implementation package.
Start with one business event, such as an approved deal becoming an order request. Agree which fields may cross the boundary and who owns the result. We work remotely with teams in the USA, UK, UAE and other markets, with meeting times and ongoing support agreed during scoping.
Who this is for
- Sales operations teams handing approved work to finance or fulfilment.
- Growing businesses reconciling customer and order records across separate applications.
- Software teams connecting a custom CRM to an existing ERP through documented APIs.
When this is the right fit
- Staff retype an approved order or customer record in another system.
- Sales needs an accurate fulfilment or invoice status without permission to edit the accounting record.
- A native connector cannot represent your required objects, matching rules or exception handling.
- You can name an owner for conflicting data and provide a safe test environment.
What we build
A field ownership contract
Map company, contact, order and status fields separately. Establish stable IDs, required values and the source allowed to change each field.
A bounded sales-to-operations handoff
Validate an approved sales event before creating the agreed destination record. An accepted request, an ERP order and a paid invoice remain different states.
Status visibility without write-back loops
Return selected operational statuses to the CRM. Define freshness, direction and loop prevention instead of promising that every field stays identical everywhere.
Historical import and reconciliation
Treat initial data cleanup and import as a separate stage. Compare counts, IDs, exceptions and agreed control totals before switching the live workflow.
Operator exception handling
Provide an inspectable queue for missing matches, rejected values, expired access and uncertain writes. Define who can check results and when a corrected operation may proceed.
What you get
- An approved object and field map with matching, conflict and deletion rules.
- The agreed integration code or workflow configuration in accounts you control.
- A test pack covering duplicate events, partial failure, changed records and lost responses.
- A cutover plan with reconciliation criteria, pause controls and ownership of unresolved work.
- Operator instructions and separately agreed monitoring, support and maintenance boundaries.
Commission one integration with a reviewable scope
A CRM-to-ERP connection should preserve business ownership, not copy every field both ways. Agree the first handoff and the evidence that confirms it before committing to a wider rollout.
Sales to operations
Keep the CRM and ERP. Map one approved deal to an order request, then return selected fulfilment statuses.
Existing sync repair
Establish which records are already saved before correcting matching, conflicts or a failed import.
Initial migration
Scope historical records separately from ongoing changes, with duplicate review and control totals.
What the first stage must settle
- Confirm the products, editions, documented API operations, sandbox access and required permissions. A logo or connector listing is not compatibility evidence.
- Agree field ownership, matching, direction, volume and acceptable delay. Separate new records, historical import and deletion policy.
- Review a working handoff and failure cases using synthetic records. A lost response must remain uncertain until saved and destination evidence resolve it.
- Approve cutover, monitoring ownership, recovery instructions and maintenance separately. The written scope names code ownership, platform licences, recurring costs and exclusions.
Download the integration procurement pack
Download the integration scope and acceptance pack (ZIP). No signup is required. It contains a field-ownership map, eight failure-acceptance cases, a proposal-comparison worksheet and a synthetic CRM-to-ERP handoff. All acceptance cases start NOT RUN, with no claimed customer outcomes or provider certification.
Fill in product editions, the first workflow, volume and your most costly exception before a call. Keep credentials, personal records and sensitive payloads out of the worksheets you share publicly. The pack is a design and procurement aid, not a production connector or proof that an implementation passes.
Check the provider-specific limits
HubSpot documents account and endpoint limits. Microsoft Graph documents change tracking and state tokens. Stripe documents duplicate and out-of-order webhooks. These illustrate questions to verify against your actual vendors. They do not imply a partnership, universal support or the same behaviour in every API.
Use the API integration project checklist for the wider brief and the CRM/ERP field-mapping example for the sales-to-operations boundary.
Check platform access before committing to the build
The exact CRM, ERP edition, API licence, objects and sandbox availability determine feasibility. A product name alone does not establish compatibility. We do not claim vendor certification, reseller status or a prebuilt connector for every combination.
A data integration does not authorise payments, credit decisions, stock adjustments or changes to accounting policy. Those business actions require explicit scope, permissions and review. A technical status must not imply that money moved.
Build, buy or hybrid?
Choose the least complex option that meets the actual mapping and operational requirements.
Use the native connector
Prefer it if your editions support the required objects, direction, volume, permissions and recovery. Test those conditions before commissioning custom code.
Configure middleware
A workflow platform can suit documented transformations and routing. Review execution limits, data retention, permissions and the cost of failure recovery at your expected volume.
Build the missing boundary
Custom integration fits unusual mappings, custom software, controlled approvals or recovery requirements that the supported connectors cannot satisfy. Keep the ERP's standard behaviour where possible.
When not to hire us. An available connector already meets your requirements, the source records have no accountable owner, or you need an ERP implementation or certified ecosystem partner rather than integration engineering.
What determines integration scope and cost
We estimate after reviewing the systems and boundary. The number of vendor logos is a poor proxy for effort.
API access and data model
Licensing, custom objects, available identifiers and supported lookup operations can determine the entire implementation path.
Mapping and migration
Conflicting records, historical imports, multiple currencies or units and cross-company matching require explicit decisions and checks.
Operational responsibility
Latency, peak volume, recovery permissions and the required support window change the monitoring and handover scope.
Ask for a demonstration of the risky boundary
Use disposable records before authorising production access.
- Replay the same approved sales event and inspect whether a second order is created.
- Change a CRM-owned field and an ERP-owned field concurrently, then inspect the agreed result.
- Lose the response after the destination accepts a request and check the result without blindly writing again.
- Reject an unmatched customer and correct the mapping through the documented operator path.
- Pause the integration, reconcile outstanding work and demonstrate how cutover can be reversed safely.
How we work
We review the two systems and one target workflow, verify permitted API operations, agree the field contract and implement a fixture-based proof. Historical import, live cutover and ongoing support are separate review stages. Launch follows reconciled results, not just a successful API response.
What we need from you to start
- CRM and ERP product names, editions and public API documentation.
- The first handoff to improve and the staff member responsible for its outcome.
- Synthetic example records and expected mappings, with no credentials in the enquiry.
- Approximate record volume, acceptable delay and known data-quality problems.
- Sandbox availability, approval requirements and the owner of each system.
Technology
- Documented REST APIs
- Webhooks
- TypeScript
- Node.js
- PostgreSQL
- Queues and reconciliation
Frequently asked questions
- Do we need two-way sync?
- Only for fields with a clear business reason to flow back. Many integrations need an approved order request in one direction and selected statuses in the other. Field ownership is safer than allowing every system to overwrite every field.
- Can you connect our existing CRM and ERP?
- We first check the actual products, editions, API operations, permissions and test access. Share documentation and the required handoff. Compatibility and any need for a specialist vendor partner are established before implementation.
- Does an integrated invoice status prove payment?
- No. An invoice record, a payment notification, verified payment and settlement are separate business facts. The integration must preserve those distinctions using the authoritative system's supported evidence.
- How do you estimate timing?
- We separate access discovery, mapping, proof, historical import, cutover and handover. Scope depends on supported APIs, data quality and failure controls, so we do not promise a universal delivery time.
