AI document processing built around a reviewed business result
StackEndBox develops document-processing workflows that turn incoming PDFs, scans or forms into validated records for your business systems. The work connects intake, extraction, business rules, human review and the final handoff. An OCR result or a plausible AI answer is only one step in that process.
We help operations teams scope the custom layer around a suitable document service or model. Start with one document family and one destination. Evaluate it on representative examples before expanding to more layouts, languages or business actions. We deliver remotely for international teams without requiring an in-person engagement.
Who this is for
- Operations teams copying fields from incoming documents into a CRM or internal application.
- Service businesses collecting forms and attachments that need validation before work can start.
- Product teams adding document extraction and a review queue to an existing business application.
When this is the right fit
- The documents vary enough that fixed templates fail, but the required output fields can be defined.
- You need the source page or region available when someone reviews an extracted value.
- Missing, ambiguous or conflicting data should stop for review rather than be guessed.
- You have permission to process the documents and can define retention, access and acceptable failure costs.
What we build
Controlled intake
Check document types and processing limits, retain a job reference and separate uploaded files from ordinary logs. Agree unsupported-language, encrypted-file and unreadable-scan handling.
Extraction into a defined schema
Select the required fields and their types. Keep missing values distinct from empty strings and zeros. Preserve source references where the chosen provider supports them.
Validation beyond confidence
Check totals, dates, identifiers and required fields. Model confidence is a review signal, not proof that a record is correct or authorised for posting.
Human review with saved decisions
Show the original document beside the proposed values, record corrections and approvals, and separate reviewer permission from permission to send records downstream.
A traceable destination handoff
Map approved values to the CRM or application. Keep extraction complete, review complete and destination saved as distinct states, with safe handling when a response is lost.
What you get
- A document inventory, output schema and explicit unsupported-case policy.
- A benchmark plan with held-out examples, labelled expectations and business-specific error criteria.
- The agreed intake, extraction and review workflow, integrated with the selected destination.
- A record of job state, reviewer changes and downstream results with private access controls.
- A handover covering retention, monitoring, cost drivers, model changes and ordinary recovery.
A scoped engineering service, not an accuracy guarantee
We do not publish an invented extraction accuracy or claim that every document can be processed unattended. A pilot establishes what works for your document population and what must remain manual. Synthetic examples in our public guide illustrate evaluation design, not a measured model benchmark.
Provider choice, supported languages, data region, retention, contractual terms and API access need review. Document processing does not authorise payments, legal decisions or regulated approvals. Sensitive use cases may require specialist advice and additional controls.
Build, buy or hybrid?
Keep the solution proportionate to the documents and decisions involved.
Structured forms or existing software
If you can collect structured fields at source, remove extraction entirely. A configured document product may already supply the required review and export workflow.
OCR or document service plus rules
For known document families, a supported extraction service with deterministic validation may be sufficient. Check real layouts, languages, tables and quotas.
Custom orchestration and review
Custom development is justified when intake, business rules, permissions, exception handling or destination mapping do not fit a configured product. Use AI only where it adds demonstrated value.
When not to hire us. A simple web form would remove the problem, you cannot obtain processing rights, or the workflow requires unsupervised high-impact decisions without a safe review boundary.
What changes document-automation cost
Evaluate the entire workflow rather than the extraction price per page alone.
Document variation
Layouts, languages, handwriting, scan quality, tables and changed templates affect evaluation and exception handling.
Error and review burden
Critical-field errors, reviewer time and the cost of a missed exception matter more than a single overall accuracy percentage.
Integration and operating controls
Volume, latency, storage, processing rights, audit needs and the downstream API determine engineering and ongoing service costs.
What a useful document-processing pilot must show
Request saved results from representative examples, not just an attractive demo.
- A fixed schema and labelled expected values for the required fields.
- Separate development and held-out examples, including poor scans and unfamiliar layouts.
- Field-level errors, critical false acceptance and manual review load with explicit denominators.
- A reviewer correction that persists after refresh and does not silently change the source file.
- An approved record reaching the right destination, with duplicate and uncertain-response handling demonstrated.
How we work
We agree the first document family and required fields, build a labelled evaluation set, compare a suitable extraction approach and review failures before integrating. A pilot decision uses field-level results, manual review load and total operating effort. Broader automation follows evidence rather than a demo on one clean PDF.
What we need from you to start
- Document families, languages, approximate page volume and input channels.
- A list of required fields and what a wrong value would cause.
- A destination system and the person allowed to approve a record.
- Synthetic or approved redacted samples shared through an agreed secure channel, never a public enquiry.
- Retention, access, regional processing requirements and an agreed pilot acceptance rule.

Frequently asked questions
- Is document processing the same as OCR?
- OCR recognises text. A business document workflow also needs classification, field extraction, validation, review and a controlled handoff. Some inputs need only OCR and rules, while others may benefit from a model.
- Can a confidence threshold guarantee correct data?
- No. Check performance on your document population and apply business validation. Different fields and mistakes have different costs, and some providers do not return confidence for every field. Keep ambiguous or critical cases reviewable.
- Can invoices be processed without paying them?
- Yes. Capturing and reviewing invoice data is a separate operation from approving, posting or paying an invoice. Permissions and workflow state should keep those boundaries explicit.
- Should we send real documents with an enquiry?
- No. Start with document types, required fields, approximate volume and the destination system. Agree a secure process and permission before sharing any private samples.
